Quote Detail

The quotation detail is actually a process of quotation creation that starts in the state ${color}[#cfcf](Draft) and ends in the state Accepted or Rejected. We will now look at the different peculiarities of the quotation and the actions available depending on the state it is in.


The actions always available, regardless of the status of the quote, are:
Duplicate: creates a perfect duplicate of the estimate, with completely identical descriptions, work units, cost lines and details
Move: moves the estimate to another customer (useful action when creating a duplicate)
Delete: deletes the estimate and all associated data

Draft



When a quotation is in draft form, it means that it has not yet been issued: it is therefore necessary to enter all the information needed to create a quotation. Let us now see in detail how to enter this information.


Top Bar

In the quote top bar you simply enter the name of the quote.

In the top bar are managed the actions available for this status of the quotation, in this case there is only Create Quotation, i.e. the action that advances it to the status of ${color}[#7575](Ready).


Information Box

In the information box you need to enter your and your customer's billing information. Click on the pencil to enter all required information (address, VAT number, etc.). Once you have entered all the necessary information, a label OK will appear on the box.


Enter your billing information in your personal profile and your customer information in the customer database: this way you will not have to enter the information each time you create a quote.


Creation date box

In this box you must enter the date of creation of the estimate and location (e.g. your city of residence).


Project description box

In this box you can enter a description of the estimate.


Estimates box

In this box you can manage all order lines to be entered in the estimate, and you can decide whether or not to make the hourly cost explicit. You can enter order lines of 3 types:

Directly insert a work unit - this is one of the coolest features of Taskomat™, as it allows you to insert a work unit into the estimate: once the estimate is accepted, the work unit will become workable immediately.
Generic order lines - you can enter arbitrary order lines.
Non-taxable expenses - you can enter arbitrary non-taxable order lines (e.g. refunds)

Tax Summary Box

In this box you will find a summary of the taxes applied to the taxable amount, and you can also change your billing configuration (ordinary regime, flat rate, separate management, stamp duty, etc.).


Enter your billing configuration in your personal profile: this way, you will not have to enter the information each time you create an estimate. In any case, you will find the possibility to change it in each estimate.



Payment Instructions Box

In this box you will have to enter your payment instructions. If you enter your IBAN in your profile, you will not have to re-enter it each time.



Box Other

In this box you can enter extra textual content (e.g.: apostilles, clauses, specifications, etc.)

Ready



When you click on Create Quotation in the top bar, the quotation changes status from ${color}[#cfcf](Draft) to Ready. In this state, the quotation is ready to be sent to the customer.

In this state the quote is defined, if you want to modify it there is the Back to Draft action. Let us see in detail all the available actions:

Back to Draft - allows you to go back to the draft status and edit the quote data.
Download PDF - allows you to download a PDF version of the quote
Send to Client - sends an email to the client with the PDF quote directly from Taskomat™.
Mark as Sent - allows you to mark the quote as sent, if you do not use the previous action
mark as accepted - marks the quotation as accepted
Mark as Rejected - marks the quote as rejected
Delete - deletes the quote permanently

Sent



When you click Send to customer or mark as sent, the quote changes status and goes from ${color}[#7575](Ready) to Sent. In this status, the quote has been delivered to the customer and is waiting to be accepted or rejected.

Let's look in detail at all available actions:

Back to draft - allows you to go back to the draft status and edit the quote data
Download PDF - allows you to download a PDF version of the quote
Send Reminder - sends a reminder email to the client directly from Taskomat™.
Mark as Accepted - marks the quote as accepted
Mark as Rejected - marks the quote as rejected
Delete - deletes the quote permanently

Accepted



When you click on mark as accepted, the quote changes status from Sent to Accepted. In this status, the quotation has been accepted by the client and has in fact completed its cycle.


When a quote is marked as Accepted, Taskomat™ automatically asks you whether you want to attach it to an existing project or create a new one, so that work units can be immediately workable and traceable.




Let's look in detail at all available actions:

Back to draft - allows you to go back to the draft status and edit the quote data
Download PDF - allows you to download a PDF version of the quote
Link to Project - allows you to link the accepted quote to a project (if you have not already done so)
Mark as Rejected - allows you to mark the quote as rejected
Delete - deletes the estimate permanently

Rejected




When you click on mark as rejected, the quote changes status to Rejected. In this status, the quote has been rejected by the customer and has effectively ended its cycle.

Back to Draft - allows you to go back to the draft status and edit the quote data.
Download PDF - allows you to download a PDF version of the estimate
Mark as Accepted - allows you to mark the quote as accepted
Delete - deletes the quote permanently
